Executive Assistant

Full-Time Position

Your Responsibilities

  • Act as the point of contact among CEO and Spain Country Director, and employees
  • Manage CEO and Spain Country Director calendars and set up meetings
  • Screen and direct phone calls and distribute correspondence
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Coordinate and prepare the Company-wide “All Hands Calls”
  • Manage information flow in a timely and accurate manner
  • Coordinate and prepare the monthly report, by aligning with all senior executives, and making sure the report fits the board’s expectations in terms of quality
  • Participate in executives’ yearly reviews together with the board
  • Make travel and accommodation arrangements
  • Organize and oversee travel expenses and prepare weekly, monthly, or quarterly travel reports
  • Assist with any administrative tasks, collaborating with the HR and Backoffice
  • Act as an office manager by keeping up with office supply inventory
  • Perform personal errands for CEO & Spain Country Director as required

To fit this post, we look after:

  • Bachelor’s Degree
  • Previous work experience (5+ years) as an Executive Assistant
  • Excellent, proven communication skills, both oral and in writing, in English
  • Excellent, proven communication skills, both oral and in writing, in Spanish
  • Good MS Office knowledge (especially Outlook and Power Point)
  • Good communication and interpersonal skills
  • Ability to work under time pressure
  • Enthusiasm and keenness to learn
